Job Description:

Purpose

The Accounting Coordinator is responsible for the maintenance of the company’s financial records. This role is responsible for the daily, weekly, monthly and yearly financial activities of the firm, ensuring accurate and timely financial reporting. The Accounting Coordinator also serves as a point of contact for internal and external clients of the firm with respect to invoicing, accounts receivable, and accounts payable.

  • Accounts Payable: Includes entering and importing vendor invoices and credit card receipts into the accounting software, issuing purchase orders to subcontractors, performing weekly cheque runs for vendor accounts and recurring monthly expenses, and posting and issuing payments for employee expenses.
  • Accounts Receivable: Setting up new projects in QuickBooks, creating sales orders using proposals and client purchase orders, checking project status with project team leads or design managers for billing purposes, creating and submitting invoices to clients for percentage completed and hourly projects, billing disbursements to clients with appropriate backup documentation, depositing cheques into company accounts, sending reminders to clients with past due invoices, and responding promptly to all client requests to maintain a positive working relationship.
  • Financial Reporting: Assisting in preparing month-end accruals and reports, reconciling general ledger accounts, and assisting in the preparation of budgets.
  • Government Remittances & Programs: Submitting monthly and quarterly HST returns and assisting in applying for subsidies, grants, and other programs.
  • Payroll: Serve as a backup payroll processing, if necessary

Knowledge, Experience & Qualifications

Education & Specialized Knowledge

  • Post Secondary Education in Accounting or Business Administration
  • Working towards Chartered Professional Accountant (CPA) certification considered an asset

Skills/Abilities/Competencies

  • 5+ years of accounting experience
  • Excellent computer skills with a proficiency in Excel, Microsoft Word, and accounting software packages
  • Experience with QuickBooks accounting software and Deltek project resource software is an asset
  • Exceptional interpersonal skills and the ability to work effectively with people at all levels and communicate well with senior management
  • Excellent organizational, analytical and time management skills
  • Able to work with discretion with sensitive and confidential information

Job Type: Full-time (5 days per week); Hybrid
